The digital customer record: everything about a customer on one page
A customer's invoices, orders, tickets, calls and documents on one page, not in five programs. What belongs in a customer record and how it comes together.
A customer calls and asks about their last invoice. To answer, you open the accounting software; to see whether they still have an open ticket, the inbox; to find the agreed discount, a spreadsheet. The answer is scattered across three places, and the customer waits.
What belongs in a customer record
In Blina Desk every company has a record, and it shows on one page what belongs to that customer:
- Overview with the numbers that matter: revenue, open and overdue amounts, open tickets, last transaction;
- Movements: quotes, orders, invoices and cancellations in one table;
- Communication: emails, calls and tickets;
- History, Contacts, Notes and the Archive of documents.
Every number in the overview is a button that opens the list behind it. Sections for modules you do not use are hidden.
Companies, contacts, leads
A company has contacts, the people there with their job title and phone number. Anyone who is not yet a customer sits in the CRM as a lead; one click turns a lead into a customer. Categories such as customer, supplier or partner, industries and positions are yours to adapt; the entries that come with the software exist in all four of its languages.
Website enquiries land straight in the CRM
A contact form that you embed on your website creates every enquiry as a lead and notifies the team. To keep out spam, it has a honeypot for bots, rate limiting and a list of the websites it accepts enquiries from.
What was said to the customer
Calls, meetings, emails and notes are attached to the customer. Tasks with a date show what needs doing next. A note does not count as contact: on the page of a contact or lead, “last contact” only means that someone actually spoke or wrote to them.
An agreed discount, recorded once
If a customer has a fixed discount, it is stored in their record and suggested in every new quote, order and invoice. Existing documents stay unchanged.
Importing customers from a file
Companies, contacts and leads can be imported from a CSV file. The columns are recognised, contacts are linked to their company by the company name, and faulty rows are skipped instead of holding up the whole import.
In short
A customer record is worth having when it does not just collect addresses but shows what has happened with the customer: what they bought, what is open, what they asked. In Blina Desk the CRM is the foundation that all other modules build on; the module page shows what it looks like, and you can try it free for 30 days.
