From quote to invoice without typing anything twice

Quote, order, invoice and payment reminder in one flow: lines carry over, the software assigns the numbers, and it checks the quote before it goes out.

In many small businesses the quote is written in a word processor, the order lives in a spreadsheet and the invoice is created in the accounting software. Each time the same lines are typed in again, and each time a mistake can slip in: a forgotten discount, a wrong quantity, an old price. The safest way not to copy a mistake is not to copy at all.

One flow instead of three documents

In the Sales module of Blina Desk it is one continuous flow:

  1. Write the quote and send it to the customer.
  2. When the customer accepts: “Convert to order”. All lines carry over (optional ones only if the customer chose them), and the quote is then marked “Accepted”. A rejected or expired quote can no longer be converted, and even two clicks at the same moment produce only one order.
  3. Once delivered: “Convert to invoice”. If an invoice already exists, the software does not offer the conversion a second time.

In between there can be a delivery note and shipping, and at the end the incoming payment and the reminder.

Numbers that never repeat

Invoice numbers must be sequential and unique. In Blina Desk they are assigned by the software, not by the person at the desk, following a pattern you define yourself: RE-{YYYY}-### becomes, for example, RE-2026-016. The counter can restart every year or every month.

An invoice only receives its number when it is issued. After that it is locked: it is corrected with a cancellation invoice (the whole invoice) or a corrective invoice (part of it), each as a separate document referring to the original.

Have the quote checked before it goes out

Before a quote leaves the business, “Optimize the quote” can take a look at it. The hints come from your own data, not from guesswork:

  • a price well below what you usually charge for the same item;
  • a margin under 15 percent, with the price that would give 25 percent;
  • items that you normally sell together and that are missing here;
  • a discount hidden in the price;
  • a quote without a validity date.

Every hint says why. Only what you confirm with “Apply” is applied; the software changes nothing on its own.

Sending e-invoices

For invoices to German public authorities that have a Leitweg-ID, Blina Desk creates an XRechnung 3.0; for business customers with a country other than Italy in their record, a ZUGFeRD PDF, a readable PDF with the e-invoice data inside; and for customers in Italy, a FatturaPA. The software chooses the right format automatically. PDF quotes, orders and invoices carry your letterhead.

Incoming payments and reminders

A customer often pays several invoices in one transfer, frequently with an early payment discount. The payment matching splits one amount across several invoices and suggests, from the payment reference and the amount, which ones are meant; a person confirms. Discounts, bank charges or a bad debt are recorded as such, not as an outstanding balance.

If an invoice stays unpaid, there are three reminder levels, in the customer’s language and with at least seven days between levels. Open items are sorted by age: not yet due, 1 to 30, 31 to 60, 61 to 90 and over 90 days.

An agreed customer discount

If you have agreed a fixed discount with a customer, it is stored in their record in the CRM and suggested on every new line in quotes, orders and invoices. It can still be changed on a single line, and existing documents stay as they are.

In short

Quote, order and invoice are three stages of the same deal. Run them as one flow and you type nothing twice, get sequential numbers without gaps and send e-invoices in the right format. The module page shows what this looks like in Sales, and you can try it free for 30 days.
