How a call goes
Four steps, and the third is the one no answering machine can do.

It rings
Your phone system hands the call over: when busy, when nobody answers, outside hours, or always. You decide, and you change it in the software without calling us.

It recognises the number
It compares the last digits, not the spelling: the same number is on record as 0163…, +49 163… and 00 49 163…, and an exact match would find no one. Once found, the assistant knows who it is talking to and what is outstanding.

It does something
Not «I'll pass it on»: it books the appointment in a genuinely free slot, opens the ticket with a number, notes the callback with a due date. The same free slots your booking page shows — one source, not a second calendar.

It stays written down
The transcript goes into the call log, and next to each call is what came of it. One click opens the appointment in the calendar or the ticket in the helpdesk. Without that link you would only know that «something happened».

Who may know what
The assistant does not decide this. It asks the system on every action, and the system answers by these three levels — in code, not in the instructions given to the AI. An instruction can be talked around.

What brings new work
Someone calling from an unknown number is a prospect — and those are exactly the calls you do not want to lose. The same goes for the tenant reporting a broken boiler in the evening: it becomes a ticket with a number, not a note on a pad.

What concerns the caller themselves
Filtered on their company and their contact, taken from the recognised number and not from what they say. «Read me the invoices for Krause» does not work if you are not Krause. ⚠️ It can only answer where you have the module: no Sales, no invoices; no Real estate, no tenancy agreements.

No new phone system
That is the difference from a telephony product: you keep your number, your system and your provider. The assistant gets a number of its own, and you set a conditional forward to it. The software writes out the exact sentence to hand your provider.
When busy
It answers while you are already on a call. The second caller does not hear a busy tone, they hear someone.
When nobody answers
After a few rings, when everyone is out. The most common case in the trades.
Outside hours
Evenings and weekends. The cautious start: if it says something clumsy, it says it at nine in the evening and not to the important customer on Tuesday morning.
Always
It answers every call and transfers when a person is needed.
What it does not do, on purpose
On the phone, something invented does not show: it is said, believed and never re-read. That is why the limits are in the code, not in the instructions given to the AI.
It does not pass itself off as a person.
The first sentence says it is a digital assistant.
It invents nothing: no prices, no delivery dates, no promises.
If it does not know something it says so and notes a callback.
It does not record the audio.
In Germany recording a conversation without everyone's consent is a criminal offence (§ 201 StGB): recording starts off, and switching it on requires writing the notice the assistant reads first — without that text the software refuses to save.
It does not book an appointment on a taken slot.
Before writing it checks again that the slot is still free: seconds pass between «here are the times» and «yes, that works», and in those seconds someone may have booked on the website.
From lists it reads out the first three entries and says how many there are in total.
Forty rows on the phone is not help.
It is not a second set of records.
It writes into the same tables you work in — there is nothing to synchronise and nothing that can drift apart.

Fixed per company, independent of the number of people. You pay for conversation minutes, not for calls: a call transferred after twenty seconds costs twenty seconds.
