Digital leave management: requests, approvals and regional public holidays

Leave requests without paper slips: who requests, who approves, how many days are left, and why public holidays in Bavaria and Hamburg are not the same.

In many businesses a leave request is still a slip of paper, an email or a quick word in the kitchen. That works until two colleagues want the same week, until nobody knows how many days someone has left, or until someone approves their own request.

The request: made once, visible to everyone involved

In the HR module of Blina Desk employees request leave themselves, in their own area, and see there how many days they have left. The request goes to the person who approves it, under “Leave approvals”.

Only pending requests can be approved or rejected. And nobody decides on their own request: the software refuses, except for the managers who administer the company account in Blina Desk. The same rule applies to expense reports.

Public holidays: by country, and by state in Germany

Whether Corpus Christi is a public holiday depends on where your business is. Blina Desk knows the statutory public holidays for Germany, including all sixteen federal states, as well as for Austria, Italy and France, plus the nationwide holidays of Switzerland, including movable feasts such as Easter. They are entered automatically for the current and the coming year: the national ones straight away and, for a business in Germany, those of its federal state as soon as you have chosen it in the settings. You add company holidays and bridge days yourself.

Attendance: in, out, approval

In the attendance screen, an authorised person clocks employees in and out; the time is set by the server, not by the device. If required, a supervisor approves or rejects the times. Attendance can be exported as CSV, for example for the payroll office.

Shifts, contracts, applicants

Alongside leave, the HR module keeps everything about an employee in one place:

  • shifts and work schedules;
  • contracts from your own templates. If a detail is missing when filling one in, such as the salary or the start date, no PDF is produced, only a note saying what is missing. So nobody signs a contract with a blank in it;
  • applicants and open positions, appraisals, training and documents.

In short

Digital leave management has to do three things: bring the request to where the decision is made, stop anyone from deciding on their own request, and know the public holidays of the right country and state. The module page shows what this looks like in HR, and you can try it free for 30 days.
